Position: Patient Services Representative/ Phone SchedulerLocation: Women Partners in Health: 1305 W. 34th St. Austin, Texas 78705Employment Type: Full Time- Monday - Friday 8am - 5pmBenefits: Competitive Pay Rates, Medical, Dental, Vision, Short-term and Long-term disability, Life and Accidental insurance, 401K Plan, PTO, Guaranteed Annual Pay Rate increases and Employee Discounts throughout Austin and San Antonio!Patient Services Representative/ Phone Scheduler Job Summary: Responsible for greeting all customer/patients, collecting and documenting correct information, appropriate scheduling/re-scheduling/confirming of all patient's appointments, and maintaining an orderly flow of patients/customers through the reception and lobby area. We are looking for a candidate who is forward thinking, detail orientated, proactive, and confident.Patient Services Representative/ Phone Scheduler Job Responsibilities:

  • Answers phones and emails, schedules and confirms appointments, and inputs customer data into company systems.
  • Organizes workflow and appointment by reading and routing correspondence, collecting customer information, and managing assignments.
  • Manages department schedule by maintaining calendars for department personnel and arranging meetings, conferences, teleconferences, and travel.
  • Completes requests by greeting customers, in person or on the telephone, and answering or referring inquiries.
  • Maintains customer confidence and protects operations by keeping information confidential.
  • Keeps equipment operational by following manufacturer instructions and established procedures.
  • Secures information by completing database backups.
  • Provides historical reference by utilizing filing and retrieval systems.
  • Contributes to team effort by accomplishing related results as needed.Skills/qualifications/experience for Patient Services Representatives/ Phone Schedulers:
    • High School diploma or GED is required, prefer some college.
    • Requires minimum 1 year experience in medical office environment.
    • Women's Health Texas requires all employees to adhere to Covid Vaccine Mandates.
    • Prefer experience in patient reception and scheduling/coordinating.
    • Excellent communication skills (written and verbally) and be able to follow oral and written instructions.
    • Demonstrate proficiency in personal computer office applications, such as word processing, databases, and scheduling software.
    • Strong organizational and time management skills.
    • Excellent customer/patient service.Physical/mental abilities:
      • Ability to multi-task and prioritize duties.
      • Ability to handle high stress situations and adapt to changing circumstances.
      • High attention to detail.
      • Ability to put patients at ease.
      • Must be able to stand, sit, bend, and walk. May be required to climb ladders to pull patient records.
      • Must be able to maintain confidentiality.
      • Ability to operate telephones and standard office equipment such as photocopiers and facsimile machines.
      • Ability to maintain professional working relationships with staff and patients.
      • Must be able to lift up to 30 lbs.
