Administration will focus on membership processing, reporting, retention of existing members, and member and partner relations. - Job Details: General Notes Work itional hours during peak times, including early mornings, evenings and weekends, especially during the summer months during Family Orientation. Occasional holiday work. Regular and punctual attendance at the workplace required. Adhere to and maintain the Division's Vision, Mission and Values, and performance standards. Position is classified non-exempt. Responsibilities Process Texas Parents Association complimentary and supporting levels of membership including entering and maintaining accurate member information into the database and VIP systems. Ensure the membership fulfillment process is completed for newly joined members, replace membership cards and act as the first point of contact for member assistance for online inquiries and incoming phone calls. Provide the highest standard of customer service in person, over the phone, and via email, acting as primary point of contact. Represent the department well by speaking knowledgeably, and composing written responses with concise language and proper grammar. Advise, counsel, reassure and problem-solve for parents contacting the office. Assist parents within the University's complex structure, culture and systems, and policies and procedures to reach desired outcomes. Proactively acquire institutional knowledge that will aid in assisting the parent and family constituency. Cultivate membership growth and awareness during Family Weekend, Family Orientation, Mooov-in and Ambassador Council meetings. Coordinate Family Orientation and Family Weekend membership sign-up stations and train Family Orientation Student Leaders on use of the online sign-up system and database as well as the membership structure and offerings. Facilitate the renewal program, encouraging expiring members to continue in their membership. Administer strategies developed to encourage member retention and to foster a sense of community. Cultivate and maintain campus and vendor partnership relations to enhance member benefit offerings. Act as point of contact with local hotels to establish Family Orientation hotel options. Administer the stewardship program. Ensure all donors receive a personalized thank you from Texas Parents. Produce a variety of reports including, but not limited to, a Constant Contact email bounce report, weekly sales report, online sales report and Family Orientation membership sales reports. Serve as a contributing staff member in a team-centric and collaborative environment, functioning capably in a dynamic, fast-paced and growing office. Serve as the primary back up to the Office Manager, and substitute for other staff as necessary. Keep abreast of current events as they pertain to students and their families, and perform other tasks as assigned. Required Qualifications High School graduation or GED. Five years of clerical experience, including complex administrative functions. Demonstrated accuracy, organizational skills, and positive attitude. Ability to pay great attention to details, and learn quickly. Excellent interpersonal, written, and verbal communication skills. Ability to provide the highest standard of customer service in person, over the phone, and through email. Demonstrated self-starter with an ability to work independently. Ability to problem solve, think critically, and consistently exercise a high degree of discretionary effort. Knowledge of student programs, organizations and activities at The University of Texas at Austin. Proficient computer skills including Microsoft Office. Relevant education and experience may be substituted as appropriate. Preferred Qualifications Bachelor's degree. Bilingual in English and Spanish. Direct experience related to the essential functions. Experience selling and processing memberships. Knowledge of UT Austin's offices, structure, policies and procedures, history and traditions. Experience using iPhoto, FileMaker Pro, Convio, Constant contact, Contribute and The University's Define and VIP systems. Work experience at The University of Texas at Austin. Salary Range $38,000 + depending on qualifications Working Conditions Standard office conditions. Repetitive use of a keyboard at a workstation. Use of manual dexterity. Lifting and moving; walking. May work in all weather conditions. may work in extreme temperatures (outside) during events & orientation. May work around chemical fumes. Exposure to alarms, large crowds, construction, noise, windowless work area and dust. Work under stress, under deadlines, as a team member, independently, in d office space and with overlapping projects.
