Job TitleResponse Support Specialist/Administrative AssociateAgencyTexas Division of Emergency ManagementDepartmentOperationsProposed Minimum Salary$21.64 hourlyJob LocationAustin, TexasJob TypeStaffJob DescriptionGENERAL DESCRIPTION: The Texas Division of Emergency Management (TDEM) is an emergency response entity and this status can affect working hours, travel, and change in duties as needed.This position performs advanced (senior-level) administrative support work. Work involves coordinating the dissemination of information, developing, and maintaining schedules, reports and filing systems, and performing internal administrative support work. Work is performed under general supervision. May participate and serve in a supporting role in response and recovery operations. Reports to the Division Chief. Extended hours may occur on occasion.*Salary rate posted is a fixed rate. It is not a range.ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:Provide direct administrative support for the Division Chief.Interpret and disseminate information concerning agency policies, procedures, and administrative matters.Coordinate general office duties such as ordering supplies, answering/routing phone calls and taking messages, greeting visitors, performing basic bookkeeping work, making travel arrangements, and assisting with general human resources work.Coordinate and support meetings, conferences, seminars, and other such events.Develop, and maintain filing, record-keeping, and records management systems including electronic files.Assist in researching technical issues, compile/edit data and information, and prepare summaries, reports and other such documents.Coordinate the preparation, editing, and distribution of important correspondence.May research, compose, design, or edit agency publications such as brochures, forms, manuals, and reports.Manage and maintain schedules and travel arrangements for managers, leadership, and executive staff.Manage inventory control.Orders supplies and ensures appropriate supplies needed for activation of the State Operations Center are maintained.Support response and recovery operations.Maintain a regular schedule of attendance.Perform other duties as assigned.Work extended hours when needed.This document represents the major duties, responsibilities, and authorities of this job, and is not intended to be a complete list of all tasks and functions. Other duties may be assigned.MINIMUM QUALIFICATIONS: Education - High-school diploma or equivalent or an equivalent combination of education and experience.Experience - Five (5) years' experience in a full-time paid employment position performing complex clerical/administrative support work.*Additional education may be substituted in lieu of relevant experience on a year-for-year basis, with thirty (30) semester hours equal to one (1) year experience.KNOWLEDGE, SKILLS AND ABILITIES: Ability to exercise poise, tact, diplomacy, and establish and maintain effective working/professional relationships with external and internal customers.Ability to communicate and present to diverse small and large groups.Ability to clearly communicate technical information that can easily be understood by an audience with a variety of educational and working backgrounds.Ability to think analytically, be detail-oriented, and multi-task without sacrificing accuracy or timeliness.Ability to be organized, flexible, and prioritize in a multi-demand environment.Knowledge of methods of prioritizing, planning, organizing, and carrying out multiple projects which frequently are underway simultaneously.Knowledge of, or the ability to rapidly assimilate information related to TDEM, State, and Federal, regulations, legislation, plans, guidelines, policies, and procedures.Ability to responsibly handle sensitive and confidential information and situations.Ability to work other than normal working hours during emergencies.Skill in operating a variety of office and specialized equipment including a laptop computer with a variety of software (e.g. Microsoft Office Suite, e.g. Word, Excel, Access, PowerPoint), plotter, projectors, camera, communications devices, and other specialized audio-visual equipment.Ability to travel (20%).REGISTRATION, CERTIFICATION OR LICENSURE:The successful candidate will be expected to successfully complete the following training within one year of employment: IS-100, IS-200, IS-700, IS-800 and the FEMA Professional Development Series or the Emergency Management Professionals Program (EMPP) Basic Academy.* *TDEM does not accept resumes in lieu of application through Workday.
