Job Description:

In the role of Office Administrator, in the Austin office it is anticipated that the employee be able to work collaboratively and effectively with all levels of management, staff, clients, external partners, supplier and regulatory agencies. The employee will be responsible for providing administrative support to ensure the operation of the office. The employee will be responsible for:Ensure the optimum comfort of all guest in reception area / meetings and accommodate special requestsMaintain conference room schedule/calendar, coordination of meetings and callsPrepare conference rooms prior to guests arrival; assisting with coordinator/setup of catering for meetingsPerform a variety of administrative duties, screening and routing incoming calls, booking travel & preparing expense reportsWork closely with facilities team for efficient office operations and all office-related activitiesAssist with food, catering, office supplies ordering and organizationLiaise with vendors and help with vendor selection as neededAssist in providing onboarding support for new hiresResponsible for printing and filing materials as neededManaging courier servicesWork closely with Partners, Marketing, Business Development and HR teams on special projects and tasksSupport to the following teams, upon request: Portfolio Managers, Management Teams, 3 Co-Founding Partners & their Executive Assistant, Marketing Team, HR Team, Administrative TeamQUALIFICATIONS & REQUIREMENTSIn order to effectively represent the Company and communicate with clients, the employee must be someone who has:Ability to prioritize and manage multiple tasks and projects concurrently to meet/exceed deadlineStrong desire to work collaboratively with the teamHigh standard of professionalism in all dealings with internal staff, external partners, and clientsProblem solving skills and ability to identify and implement appropriate solutionsConsistent work ethic through hard work, confidence and effortStrong written and verbal communication skillsOutstanding attention to detail and strong organization skillsEDUCATION, TRAINING & EXPERIENCEPrevious support experience requiredExperience working in Microsoft Office and Microsoft SuitePrior experience in financial service industry preferredAvailability to work 7am-4pm with flexibility as neededBachelor's Degree preferred2-4 years + experience
