Job Description:

Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.Answer and direct incoming calls from the company's main phone line.Greet all visitors graciously and provide excellent customer service.Enforce company security measures and policies for front desk and maintains security protocols.Maintains employee directory and phone rosters and Outlook global address book.Distribute all incoming mail in a timely manner.Prepare correspondence, file folders, and provide other administrative tasks as requires.Maintain company travel program, to include scheduling, compliance, profile setup and reconciliation of funds spent.Order and arrange group meals as needed. Payment responsibility will be under Paralegal Supervisor.Review flower order requests; place flower orders with local (varies by job site) florists and ensure delivery. Payment responsibility will be under Paralegal Supervisor.Assist with, maintain and update the Office Services SharePoint site.Produce monthly updates at all administrative ticket requests.Regular attendance and timeliness required per departmental guidelines.Participation in all applicable performance evaluation programs is required.QualificationsHigh School Diploma or GED required.Minimum two (2) years of prior experience in office administration or equivalent combination of education and experience.Requires intermediate knowledge of Microsoft Office applications.Ability to pass criminal, drug, financial, and driving screening.May need to have the ability to legally drive a company vehicle.Knowledge, Skills and AbilitiesAbility to interact and communicate with individuals at all levels of the organization.Knowledge of a variety of computer software applications in word processing, spreadsheets, database and presentation software (MSWord, Excel, Access, and PowerPoint).Requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.Working ConditionsAbility to remain in a stationary position regularly, up to 85% of the time.Occasionally move about inside the office to access file cabinets, office machinery, etc. and carry office materials and supplies up to 20 pounds.Constantly operates a computer and other office productivity machinery, such as calculator, phone, fax, copier, etc. and a personal computer.Ability to exchange accurate information in person and over the phone.Primarily works indoors.Occasional travel may be required, up to 5%.Other DutiesPlease note this job description is not designed to cover or contain a comprehensive listing of activities, duties or responsibilities that are required of the employee for this job.
