Description:Austin Safety Council (ASC) is the city's dedicated
safety training and health facility. We offer dual-language,
computer-based, and in-person safety and development courses
tailored to Austin's growing workforce and industry leaders. Our
course library offers certifications for OSHA compliance,
professional development, CPR and first AID, HAZCOM, and more. We
serve the construction, healthcare, biotech, manufacturing, and

this city and the people building that future. JOB SUMMARYWe are
looking for an Office Manager to organize and coordinate
administration duties and office procedures. This position will be
responsible for the management of various AP/AR duties. Your role
is to create and maintain a pleasant work environment, ensuring
high levels of organizational effectiveness, communication and
safety. Previous experience as a Front office manager or Office
administrator would be an advantage. A successful Office Manager
should have experience with a variety of office software (email
tools, spreadsheets and databases) and office equipment and be able
to accurately handle administrative duties. Ultimately, the Office
manager should be able to ensure the smooth running of our
organization, ensure adherence to company policy and improve
company procedures especially day-to-day operations.SUMMARY OF
ESSENTIAL JOB FUNCTIONSProvide ongoing bookkeeping and
administrative support to the office, driving organizational
success through the management of daily operations and special
projects.Provides coordination of human resource paperwork for the
organization including new employee office set-ups, background
checks and on-boarding.Work closely with departments, making the
Finance Director aware of issues and/or concerns.Handles matters
expeditiously, proactively, and follows-through on projects to
successful completion, often with deadline pressures.Monitor,
manage and maintain office equipment and supplies; request repair
or restocking when necessary.Produces reports as required.Uses and
understands Microsoft Office Suite, Google Suite and other
business-specific software.Answers incoming internal and external
customer calls and provides exceptional customer service by using
critical thinking, problem solving and/or forwarding the call to
the appropriate department. Plan and execute Company sponsored
events and outings to encourage employee participation and
welfareSKILLS AND QUALIFICATIONSHigh School degree; additional
qualification as an Executive Assistant , Bookkeeper or Office
Manager of 2-5 years Proven experience as an Office manager, Front
office manager or Administrative assistantExperience with
bookkeeping, receipt and payment trackingKnowledge of office
administrator responsibilities, systems and proceduresProficiency
in MS Office (MS Excel and MS Outlook, in particular) and Google
applicationsHands on experience with office machines (e.g. fax
machines and printers)Familiarity with email scheduling tools, like
OutlookExcellent time management skills and ability to multi-task
and prioritize workExtreme attention to detail and excellent
problem solving skillsExcellent written and verbal communication
skillsStrong organizational and planning skills in a fast-paced
environmentA creative mind with an ability to suggest
improvementsMust be able to adapt to work in varied environments
and learn detailed procedures.Proven ability to work under pressure
and make effective decisions.Cross-train and assist other
departments as necessary.Fluent in Spanish a plusABILITIES
