Job Description:
**Lead Conference Event Programming at one of Texas most dynamic
Resorts and Clubs***
Lead department of Conference Service Managers to perform at
highest possible level. Facilitate planning with corporate, social,
HSB member, and internal clients to ensure customer satisfaction
and optimized revenue for the Resort. Responsibilities include
coordinating, planning, and communicating all details for group
functions to appropriate resort departments, on-site management of
events, and billing and follow-up post-event.
General Duties:
Coordinate all group activities between Conference Services,
Department Heads and Managers of Horseshoe Bay Resort.
Perform pre-function activities such as on-site tours, menu
tasting/planning session, Banquet Event Orders, estimates, diagrams
and activity coordination between all departments.
Coordinate function activities with management personnel, service
personnel, recreational professionals, accounting personnel and
outside vendors.
Provide support and leadership for Event Management Department to
include: staffing, training, ensuring office coverage/scheduling,
following all HR requirements, hiring, conducting annual
performance reviews, and any other required disciplinary
actions.
Facilitate required meetings (BEO, WEPM, EM Dept) to include
arranging for guest speakers, coordinating training opportunities,
and reporting on weekly events.
Provide weekly Banquet forecast, calculate quarterly commissions in
accordance with commission structure, maintain department payroll
and budget.
Meet all internal deadlines for completion of paperwork, or follow
procedures for pop-ups, revisions, etc.
Maintain professional composure in high stress situations in order
to make last-minute changes and develop strong and concise written
and oral communication with other departments.
Work with other Department Heads to solve challenges and ensure
procedures are in place and are followed. Must maintain strong
relationships with ALL resort departments.
Follow and communicate all Resort rules and policies concerning
club and group functions.
Maintain confidentiality and currency of client and Associate
files.
Address client issues regarding service, experience, billing,
etc.
Assist Director of Sales & Marketing with any requested
projects.
Maintain knowledge of industry trends and bring new ideas to the
resort.
Solicit and book corporate, golf, member, social and weddings
events whenever possible.
Participate in sales training activities to increase amenity usage
and department revenue.
Employment Standards:
Bachelor's degree with emphasis in Hospitality preferred; 8-10
years of equivalent experience.
10+ years of Hotel/Resort Management experience highly
recommended.
Minimum age requirement - 21+
Valid driver's license and ability to meet the requirements of
driver insurability as established by the insurance carrier
required.
Experience in Supervisory role required.
Superb communication skills both verbally and written are
required.
Access, input and retrieve information from the computer, with
particular proficiency in Microsoft Office applications (Word,
Excel and Outlook). Experience with Delphi is preferred.
Must be able to type 40 words per minute.
Strong interpersonal skills and ability to lead teams and
collaborate across multiple departments.
Must have neat and pleasant overall appearance.
Maintain proper associate professional dress standards.
