A List of 3 References is required in order to apply. Additional Information Purpose Provide complex administrative support for the Global Risk and Safety unit in the International Office. Essential Functions Provide conscientious administrative support to the International Oversight Committee (IOC) and International Crisis Advisory Team (ICAT) on complex matters, including communication of updates of the UT travel policy for high risk regions, coordinating the IOC subcommittee review process, planning meetings, crafting meeting agendas, compiling formal minutes for record, and disseminating official communications (i.e., memos, policy updates). Conduct research and analysis on locations considered to be of elevated risk, and communicate policy implementation. Maintain regular communication with members of the UT community and other stakeholders. Collaborate with the Global Risk and Safety Coordinator to liaise with departments, colleges and other groups to increase awareness of restricted regions policies and procedures. Provide administrative support for risk and safety workshops. Maintain web-based communication initiatives, including GRS website administration and site content management. Promote awareness of policies, resources, and other risk and safety concerns related to UT travel abroad via the GRS website. Publish online safety update articles and health and safety social media entries on a routine basis. Assist GRS Director with crisis management outreach during emergency situations, to include research, data collection, communication with relevant parties, drafting and proofreading of official communication, and other duties as warranted. Monitor daily world events and conduct research, create presentation materials, maintain records, update continuity of procedures, provide general risk and safety advice to students, and produce official correspondence, memos, and reports. Compile annual data for GRS unit, including reports for submission to UT Systems Office of Risk Management. Contribute to special or ongoing projects related to international health, safety, and security. Perform other related duties as assigned. Marginal/Incidental functions Other related functions as assigned. Required qualifications Demonstration in application materials and interviews of the following competencies, typically acquired through a Bachelors degree and 1 year of relevant experience, which could include but is not limited to: experience administering a program, working with emergency management or crisis response, and coordinating sensitive communication outreach efforts. Strong verbal and written communication skills. Strong interpersonal and problem solving aptitude. Proven attention to detail and organizational abilities. High level of professionalism and capacity to maintain composure in times of crisis. Ability to prioritize responsibilities and manage multiple concurrent projects. Excellent customer service and public speaking skills. Demonstrated use of initiative and sound judgment. Ability to work independently and as part of a team. Adept in synthesizing and reporting information in an accurate, timely, and well-constructed manner. Proficient in MS Word, Outlook, Excel, PowerPoint, and website content management software. Equivalent combination of relevant education and experience may be substituted as appropriate. Preferred Qualifications Experience working in an academic or nonprofit setting. Experience working with University of Texas policy and procedures preferred. Past participation in conference and workshop planning. Advanced MS Word and Excel skills. Knowledge of Wiki websites and Adobe Acrobat. Proficiency compiling statistical reports. Knowledge of and interest in international current events. Experience living or working abroad. Working conditions May work around standard office conditions Repetitive use of a keyboard at a workstation A criminal history background check will be required for finalist(s) under consideration for this position. The retirement plan for this position is Teacher Retirement System of Texas ( TRS ), subject to the position being at least 20 hours per week and at least 135 days in length.
