The workflow at HomePay is very task-oriented, with milestones driven by state and federal tax deadlines, and the Office Assistant plays a vital role in the daily completion of administrative tasks. This position is very hands-on and requires a high attention to detail, excellent communication skills, a desire to be a strong contributing member of a team, and a high level of professionalism.

This is a Full-Time role and the Office Assistant must take pride in the importance of office administration, as it is vital to the quality of our client service. The person in this role must also possess and take pride in a high attention to detail, organization and task management, and be comfortable working in a fast-paced environment. There is opportunity for growth in responsibilities as continued company growth creates new requirements for this position.

Specific Duties/Responsibilities

Performs a variety of administrative functions within proprietary systems to initiate, update, or close files or cases

Processing and managing all inbound and outbound mail (this responsibility is critical and requires the ability to understand and work within other functional areas of the company)

Filing/scanning of client documents

Managing and conducting some purchasing; maintaining administrative scheduling for purchases and coordination of significant administrative events

Maintaining equipment in functional area; managing and ordering supplies and tracking/organization of office inventory

Maintaining vendor relations - post office and other shipping carriers, printing and marketing vendors, office supply vendors, etc.

Managing general office organization and appearance

Tracking of marketing materials and campaigns and assembly and management of outbound mail campaigns

Other duties and special projects, as assigned

Required Skills

Data entry skills with a high proficiency in Microsoft Excel, Word and DocuSign.

Strong organizational skills and attention to detail.

Strong interpersonal and communication skills, both written and verbal.

Must be forward thinking, a team player, and quick to embrace change.

Education/Other Pre-requisites

Associate---s or Bachelor---s Degree preferred, but not required.

3 - 5 years of related administrative work experience.

Proven ability to handle multiple time-sensitive projects under competing deadlines with a high degree of accuracy.

Strong communication skills, both written and verbal.

Strong team-player, with a passion for delivering exceptional customer service.
