About the role
Costa Coffee is seeking an Office Manager to help drive workplace
initiatives in our Austin location, developing the next generation
of intelligent robotic coffee platforms.
The successful candidate will have experience supporting workspace
operations for a rapidly growing organization or local team. They
will partner with internal and external stakeholders such as site
leadership, landlord and vendors to drive needed initiatives and
maintenance activities for supporting the wellbeing of our
employees while in the office. They will serve as the main point of
contact for all office equipment related issues and make sure we
are able to be effective and productive by maintaining these assets
available in the best working condition.
Responsibilities:
" Support site operations by maintaining workspace and systems:
real estate, office equipment, conference rooms, AV equipment.
" Work with site leadership on future growth. Plan and execute
workspace expansion for the site.
" Engage with 3rd parties for acquiring and maintaining all assets
needed to run an effective workspace.
" Manage relationship and escalate issues to landlord, manage
needed repairs through resolution.
" Maintain a safe and enjoyable work environment. Engage with our
people to identify initiatives most impactful for maximizing
efficiency, productivity and happiness. Formulate recommendations
for improvement plans, get leadership buy-in and execute.
" Serve as the main point of escalations when it comes to office
needs coming from our people and leadership.
" Organize office procedures and policies such as ordering
supplies.
Requirements:
" 3+ years experience as an office or facilities manager,
preferably in a growth (fast pace) organization.
" Experience managing a process of office expansion into new
space.
" Experience building and managing relationships with
landlords.
" Experience managing vendors and contractors across areas related
to workspace renovations, space setup, repairs, etc.
" Experience managing facilities maintenance vendors such as
cleaning, pests control, electric, plumbing, HVAC, etc.
" Direct experience maintaining office systems in good working
conditions: conference rooms, AV equipment.
Good to have:
" Experience managing IT assets like work laptops and engaging with
IT teams to support overall productivity
" Love and passion for great coffee.
