POSITION SUMMARY :
Responsible for the secretarial functions within the Women's Services department. Communicates/corresponds with physician's office, other hospital personnel and physicians. Handles confidential information. Exercises professional judgment in performance of services and maintains demeanor complementary of medical ethics.

Participates in providing patient specific care standards as directed, and follows service excellence standards to ensure high levels of patient satisfaction.

ESSENTIAL JOB RESPONSIBILITIES :
Performs general secretarial duties.

  • Prepares accurate and professional documents, meeting minutes for OB Liaison and staff meetings.
  • Provides for expedient turn-around time for all mail.
  • Maintains office filing system and copies forms as needed
  • Maintains Daily Encounters
  • Takes messages accurately and distributes to proper personnel.
  • Audits all patient procedure charges for department. (i.e. late charge report, etc)
  • Maintains statistics and calls accounting personnel routinely.
  • Prepares monthly reports as needed. (i.e. PRMI, etc.)
  • Assists medical Department chief with project requests
    Provides assistance, guidance and direction to patients, visitors and physicians.

    • Greets patients, physicians and visitors in a professional manner.
    • Assures that patients are tended to by informing specific departments of their arrival.
    • Enters patient information into Meditech system
      Provides support to clerical functions

      • Answers phones in a courteous/helpful manner.
      • Faxes and copies orders and forms as needed.
        Performs other duties in the Department as required.

        • Answers telephone in professional manner, identifying the department and employee's name.
        • Takes messages accurately and relays them immediately.
        • Participates in department and hospital PI plan
        • Provides after hour accessibility for physicians to make schedule changes or schedule patients for procedures
          Collaborates with physicians, clinicians, patients, and clerical staff to assure effective and efficient delivery of service(s)

          Serves as liaison to clinical staff to communicate status of the patient and their scheduling needs

          Disseminates information on a need to know basis for all appropriate telephone and/or personal contacts

          Takes messages accurately and distributes to proper personnel

          Answers phone in courteous/helpful manner

          Prepares accurate and professional documents and monthly reports to supervisor on time

          Promotes customer satisfaction as evidenced by meeting customer requirements in all services provided

          Upholds and demonstrates St. David's Values through all interactions

          Documents all appropriate data by standard procedure

          Performs clerical functions in compliance with hospital policies and procedures.

          Responsible for courteous, accurate and timely communication of information.

          Answer telephone in a courteous and professional manner stating name, title and unit.

          Responsible for ordering supplies on a regular schedule.

          Responsible for keeping files/forms in orderly, organized fashion.

          Provides assistance, guidance, and direction to patients, visitors, nurses and physicians in a professional manner.

          Responsible for Kronos and Critical Staffing Bonus processing

          Attends in-service presentations, initial and annual Code of Conduct training; completes mandatory education, including but not limited to, infection control, patient safety, quality improvements, MSDS and OSHA standards.

          Employee's conduct must reflect the Company's values and a commitment to the Code of Conduct ethics and compliance program.

          Employee reflects SDH Service Excellence standards in every interaction.

          Qualifications
          EDUCATION AND EXPERIENCE :
          Required: High school diploma or equivalent OR proof of enrollment in or graduate of accredited university.

          Preferred: Computer skills. Previous clerical experience in the hospital, front office, or medical billing office; knowledge of medical terminology.
