Purpose To provide accounting support for the History department,
including approval of payments, travel vouchers, correction
vouchers, reconciliations and handling of assigned department
inquires, in addition to addressing vendor inquires. Provide a high
level of customer service support for History faculty students, and
staff. Work closely with the department manager to ensure
compliance with university policy and financial procedures.
Responsibilities
- Accounting: Responsible for reviewing account balances, account
charges. Maintain accounting ledgers and reconcile to the
University DEFINE accounting system. Maintain/review, balance
forward analyses, account corrections, and transfers. Prepare ad
hoc financial reports as requested by department chair, department
manager, and Dean's office. Review for accuracy and completeness
and forward for final approval voucher payments in DEFINE. Apply
rules, regulations and policies to ensure financial transactions
are consistent with university and department policies. Provide
backup support by creating electronic documents. Properly code all
ProCard vouchers in DEFINE. Prepare and process business
contracts.
- Compliance: Interpret and ensure compliance with University
policies and procedures, and state and federal laws and
regulations. Assist with documenting and monitoring internal
controls. Track Requirement of department endowments to ensure
compliance with endowment charters. Track endowment balances and
income.
- Financial Planning: Assist the Department Manager with
preparation of annual budgets. Provide monthly and quarterly
reports to faculty. Preparation of monthly reconciliation report;
preparation of monthly account balance report. Prepare faculty
allocation expenditure reports and other reports for Department
Manager, Chair and Dean's office as requested.
- Grant Support: Assist faculty with preparing grant budgets,
award set-up and fiscal management of awards, which may include
grant budgeting, grant modifications, annual reporting, and review
of expenditures. Monitor account balances, reconcile all research
grant accounts and distribute financial reports as needed to grant
Principal Investigators.
- Department Support: Collaborate as an integral member of the
History team, work in partnership on initiatives and goals in the
areas of deposits, payments, procurement and contracts, and other
duties as assigned Required Qualifications Bachelor's degree in
Finance, Accounting, Business Administration or related field.
Three years of experience in finance or accounting with experience
in purchasing, planning, and financial analysis. Demonstrated
analytical skills, problem resolution experience with complex
systems, flexibility, and researching financial inquiries.
Excellent written and oral communication. A professional and
friendly demeanor with staff, faculty and students. Ability to
perform effectively in a fast-paced environment and meet deadlines.
Highly detail-oriented, with accuracy in all phases of work.
Ability to be discreet with confidential matters and to use sound
judgment to facilitate independent decisions. Experience in
budgeting, accounting and reporting. Advance experience with
Microsoft Excel, Word and Outlook. Relevant education and
experience may be substituted as appropriate. Preferred
Qualifications Extensive experience in Accounting or Finance or
CPA. Experience with Workday. Experience working with Cognos,
DEFINE, UT Direct/FRMS, BUD, VIP Direct, and other UT systems
Experience with financial audits. Working knowledge of UT
accounting and procurement policies and procedures. Experience
working in university environment. Experience working with
databases. Salary Range $60,000 + depending on qualifications
