The University of Texas at Austin Staff Jobs Senior Grants and Contracts Specialist - Jackson School of Geosciences UT MAIN CAMPUS Job Posting Title:Senior Grants and Contracts Specialist - Jackson School of Geosciences----Hiring Department:Department of Geological Sciences----Position Open To:All Applicants----Weekly Scheduled Hours:40----FLSA Status:Exempt----Earliest Start Date:Immediately----Position Duration:Expected to Continue----Location:UT MAIN CAMPUS----Job Description:The Jackson School of Geosciences is seeking a Research Administrator to join the office of the Assistant Dean for Research (ADR) team. Under the direction of the ADR, this position will administer both pre- and post- award research activity and contracts & grants in a research focused School. The position will assist faculty members, principal investigators and other Jackson School research staff in all aspects of the preparation and submission of research proposals to sponsoring agencies as well as monitor and manage sponsored research post-award activities, all with a focus on customer service and ensuring compliance, efficiency and best practices.----Job Details:Responsibilities

  • Assist faculty with proposals, budgets and cost share commitments to sponsoring agencies and organizations in accordance with University and sponsoring agency guidelines and deadlines.
  • Develop budgets, budget justifications and other financial data necessary to submit proposals in accordance with agency and university guidelines.
  • Manage the notifications of awards received by updating original account budgets proposed. Notify faculty of the receipt of awards and communicate necessary expenditures.
  • Coordinate with new faculty and post-doctoral fellows to establish and maintain PI or Co-PI status and related unit code creation. Coordinate with faculty and OSP to ensure that all covered individuals on a project have completed Financial Conflict of Interest training. Assist faculty and senior personnel on bi-annual effort certification reporting.
  • Coordinate post-award activities including budgets for award increments, cost share reports. Maintain complete files for all projects. Ensure compliance with state, federal and university policies and procedures as they pertain to grant funding administration.
  • Liaison to Office of Sponsored Projects (pre-award) and Sponsored Projects Administration (post-award) and Office of Industry Engagement (OIE) and sponsoring agencies. Maintain complete grant and contract files. Ensure compliance with state, federal and university policies and procedures.
  • Monitor account activity and reconcile accounts to assure that all account activity is related to the project and is charged appropriately. Reference agency guidelines to make sure that budget changes are in compliance with the specified requirements from individual agencies.
  • Reconcile and review monthly expenditures. Prepare monthly expenditure reports for all active accounts. Monitor and review all transactions and prepare fund transfers as required. Certify expenditures on sponsored project accounts. Monitor incoming wire and ACH payments to ensure that all payments are placed into the correct accounts in a timely manner. Provide projections on a quarterly basis.
  • Coordinate the bi-annual effort certification reporting process with all faculty and PIs.
  • Distribute monthly OSP reports to each Jackson School unit on behalf of the Dean and maintain database of the reports.
  • Conduct forecasts/projections for awards received to assure that original scope of work will be satisfied. Communicate with faculty, review original proposal submission, and verify applicable fringe rates to prepare forecasts, annual, and final agency reports.
  • Advise faculty of remaining time of project periods and account balances in advance to assure that extensions on research projects are requested in a timely manner if research has to be extended beyond current project periods. Consult agency guidelines to provide faculty with options regarding extensions on research periods.
  • Prepare financial and/or progress expiring award reports requested by agencies for award continuation and/or final reports.
  • Manage contract closeout process and audits inquiries.
  • Oversee ADR office commitments, including oversight of office accounts and research initiative accounts to ensure funds are spent according to proposals and budgets set forth in the seed grant proposals. Track charges to ensure special appropriations of funds are followed.-- Serve as the point of contact for the ADR office to fund requests.
  • Identify and implement process improvements
  • Participate in professional development and attend conferences to remain current with standard and overall University, local, state and federal guidelines and regulations
  • Other duties as assignedRequired Qualifications Bachelor's degree and five years of experience in post-award grant administration and/or in the preparation, processing, and negotiation of research grant and contract proposals. Experience in governmental or commercial accounting. Extensive experience with the use of MS Word and MS Excel software. Experience with creating and maintaining spreadsheets. Ability to maintain accuracy and pay close attention to detail. Ability to review and interpret the terms and conditions of research grants and contracts. Relevant education and experience may be substituted as appropriate.Preferred Qualifications More than five years of experience in pre-post award grant administration.-- Ability to work independently with limited supervision. Ability to work collaboratively and constructively in a team environment. More than five years of experience in governmental accounting. Knowledge of federal guidelines pertaining to institutions of higher education. Certified Research Administrator. Experience in a Sponsored Projects Office. Experience with *Define and Workday. Salary Range$70,000 + depending on qualificationsWorking Conditions
